Who we are?
Highfield Broxbourne Limited T/A Highfield Veterinary Surgery is the data controller. The contact for any further information is Hayley Withers who is the main person dealing with data control. What information do we collect?
We collect data when a person registers with us. We record the client’s full name, address, telephone numbers, email addresses and details of animals. This is recorded on our management software which is a password protected system. This data is held by our IT partners IdexxAnimana on a secure cloud location.
We also will then add data to the records to record financial transactions and medical details of your animals.
We do not collect any data from third parties and we do not store any financial information provided to us.
How do we use personal information?
We will use the data held to provide goods and services to the client. We may also use the data held to contact our clients with various notices such as booster reminders for your pets and other relevant newsletters.
The data may be transferred to other parties only upon specific direction from the client eg to referral centres, or insurance companies in relation to claims.
What legal basis do we have for processing your personal data?
The legal basis for the processing of data is the legitimate interests for the running of our business, to comply with UK tax laws and to enable the effective care of your pet.
In general, you can choose how we communicate with you, but there are certain communications which are necessary for the operation of our business or which we are required to send by law, and you cannot opt out of these.
You have the right to ask us not to process your personal data for marketing purposes, to do this please contact the Broxbourne Surgery on 01992 440738.
Once a client has left the practice they may contact the Surgery if they wish to have their data erased.
When do we share personal data?
We will not share your information with other companies, individuals, or organisations unless:
· It is part of the diagnosis or treatment of your pet.
· It is part of a service that you’ve asked us to provide eg. submitting insurance claims.
· You have given us consent to do so.
· We have an identified legitimate interest to do so.
· We are legally required to do so.
Where do we store and process personal data?
Data may be stored on paper and computers at both surgeries with backups on disc, cloud storage for the main management software.
How do we secure personal data?
We know how important your privacy and the security of your personal information is to you and we’ve taken every reasonable effort to make sure that it is safe with us. We comply with all relevant legislation and we meet the standards set by the RCVS.
All of our computers are password protected, financial transaction details (card receipt slips) and paper documents are shredded.
Our Management Software is secured with a different password for each user. Data held by IdexxAnimana is on a secure cloud.
All data is secured by the use different passwords for each member of staff.
How long do we keep your personal data for?
Usually six years after last contact by the client in order to comply with statutory requirements. After this period data is deleted or anonymised.
Your rights in relation to personal data
Under the Data Protection Laws you have the following rights.
Access to personal data
You have the right to access information held about you. Your right of access can be exercised in accordance with the Data Protection Laws and is free of charge in most cases.

The correction of your personal data when incorrect, out of date or incomplete.
You have the right to request any information we hold is corrected if it is inaccurate. To ask for your information to be amended, please contact the Surgery.

When we are sending direct marketing to you based on our legitimate interest, you have the right to decide not to receive any direct marketing from us.
Whenever you have given us your consent to use your personal data, you have the right to change your mind at any time and withdraw that consent.
